“If we want to raise our price, I can do it in literally an hour, (and) we can distribute it out to the technicians.”
Flat-Rate Pricing is where an HVAC contractor charges one fixed rate for a service instead of charging by the hour and materials used.
While some HVAC contractors stick with an hourly rate pricing model, based on our experience, the most successful businesses use the flat-rate pricing model.
Charging a flat rate for services means there’s no leeway for customers to get held up on hourly rates. Flat-rate pricing works for customers because they know the cost upfront and pay a fixed flat rate for service, with time and materials already calculated.
HVAC flat-rate software simplifies pricebook management, saves time, and provides peace of mind to HVAC business owners looking to protect their profit margins and get the most out of every job.
It allows residential and commercial companies to set prices in real time based on the true value of services and scope of work.
A good flat-rate pricing software system lets field service businesses arrange their pricebooks by business units and verticals. For example, if they offer plumbing services or electrical services in addition to HVAC services, they can create separate categories for their electrical flat-rate and plumbing flat-rate pricebooks. Or, they can categorize pricebooks by residential, commercial, and construction menu pricing, depending on the customer segments they serve.
An HVAC flat-rate pricing system offers the following benefits to commercial and residential HVAC contractors:
Rewards high performance and efficiency, allowing HVAC businesses to book more jobs per week and earn more revenue.
Eliminates the problem of unapplied labor (underperforming techs).
Allows HVAC contractors to sell a service with a pitch perfect flat rate, with no need to justify their hourly rate.
Shortens the billing cycle, allowing customers to prepay the fixed price or pay the tech onsite for completed work.
Closes the door on service agreement price concerns since they know the fixed cost upfront for every service ticket.
Eases the pressure of a service call, removing the need to closely monitor the tech’s progress, providing a better customer experience.
Eliminates repair bill surprises or markups, even if a tech needs more time to complete the work.
There are three options for using a pricebook with ServiceTitan, including uploading your existing pricebook.
You can:
Upload a pricebook that your HVAC business is already using, so you don’t need to start from scratch if you already work with one.
Build your pricebook from scratch by adding each item or product one by one (useful if you’re a small business).
Use ServiceTitan’s Pricebook Pro add-on product, which comes with a wide range of pre-built, flat-rate HVAC services to give you a head start on building out your pricebook.
Because it’s cloud-based, anyone who needs the pricebook can access it live on desktop, laptop, or mobile device, at the office or out in the field.
ServiceTitan’s Pricebook Pro (an add-on feature to the core platform) is a dynamic pricebook we build and maintain with the guidance of experienced industry experts.
Pricebook Pro further streamlines pricebook management with:
Ready-to-use pricebooks with preset categories, services, and templates, including images, descriptions, and pricing data.
Automatic pricing and updates. Enter your labor rate once and flat-rate prices automatically update.
Built-in upgrade recommendations to increase revenue per job.
Price Insights (AI-powered) compare your prices to local market averages and shows a confidence meter for smarter bidding.
Pricing updates are performed regularly and automatically, so there’s no need for manual updates, and adjustments are reflected across the entire pricebook and are accessible to all office staff and techs instantly (via mobile tablet or desktop).
Pricebook Pro also integrates seamlessly with other areas of your business such as dispatching and invoicing. This streamlines the entire workflow, saves time, and reduces the likelihood of costly mistakes.
If you work with a ServiceTitan-integrated supplier, Pricebook Connect (part of our core platform) keeps your material and equipment pricing automatically up to date. Supplier catalogs link directly to your pricebook, with alerts for price, description, and image changes—or the option to apply updates automatically. Pricebook Connect also highlights product upgrades and recommendations that perform well for your plumbing services, helping protect margins while uncovering new upsell opportunities.
As a result, you can feel confident that your HVAC business is always offering the latest prices, along with the best flat-rate services, at the right prices for profitability, without your team having to do any of that ongoing work. This saves you hundreds of hours of pricebook set-up and maintenance time.
With Pricebook Pro, the ServiceTitan team monitors changes in supplier pricing on your behalf and updates prices on a monthly basis.
Pricebook Pro also provides a comprehensive range of pre-designed flat-rate services based on industry best practices and trends, which keep track of updated prices.
No. Price editing is extremely efficient in ServiceTitan because it allows HVAC contractors to do:
Bulk Editing: Apply edits and markups on multiple services, materials, or equipment across your entire pricebook at once, or select groups or categories.
Individual Item Editing: Edit individual services or pricebook items manually, including as much or as little detail as you want.
Dynamic Pricing Automations: Set up rules to dynamically automate pricing updates when material costs and labor rates change. You can also automatically apply “after-hours” price increases when doing work outside of normal business hours.
HVAC contractors can make quick adjustments to individual services for specific jobs or apply global edits—like discounts or labor rate changes—across their entire pricebook. Because updates sync in real time across the platform, all estimates, proposals, invoices, and accounting automatically reflect the most current pricing on every device.
